Privacy Policy

Effective August 17, 2026. If we make a material change, we will email account holders and update this date.

This policy applies to our invite-only beta today and to paid use when billing goes live.

Information We Collect

We collect information you provide during account creation and onboarding: your name, email address, the athlete's birth year (used only for the federal age rules described below), and athletic profile data — stats, physical measurements, GPA and optional test scores, competition level, honors, and recruiting status. We also collect data you choose to import from connected platforms like MaxPreps, and basic usage records (such as when a report is generated or opened) needed to run the service.

Children's Privacy (COPPA)

Depth Chart is intended for athletes age 13 and older. We do not knowingly permit accounts or athlete profiles for children under 13, on any signup path, including one a parent creates. Athletes 13 and older may create and manage their own account; for athletes under 18, a parent or legal guardian must hold or approve any paid account. If we learn that an account or profile belongs to a child under 13, we delete it and the information associated with it.

We use a minor athlete's information only to provide the service — generating their report and fit analysis. We do not market to children, and we never sell or share a minor's information for advertising. A parent or guardian may review, correct, or permanently delete the athlete's information at any time via Settings → Delete Account or by emailing hello@mydepthchart.com.

How We Use Your Information

Your data is used to generate your Recruiting Fit Report, match you with college programs, and provide personalized analysis. Report narratives are generated using third-party artificial-intelligence services: the profile data you provide is sent to those services solely to produce your report, and is not used by us to train AI models. We use aggregated, anonymized data to improve our scoring algorithms.

Service Providers

We use a small set of trusted third-party service providers to run Depth Chart — for sign-in and account security, data storage, payment processing, email delivery, model generation of your report's written analysis, and website hosting. Each processes your information on our behalf under contractual restrictions, for the purposes necessary to provide, secure and operate the service, and as otherwise permitted by applicable law and those agreements. Card details go directly to our payment processor; we never store card numbers. You may request details about our providers' data handling at the contact below.

Data Sharing

We do not sell your personal information. Your profile and report data are never shared with colleges, coaches, or recruiting services without your explicit permission. Our service providers receive only what they need to do their job, on our behalf and under the contractual restrictions in our agreements with them.

Cookies & Browser Storage

We use essential cookies for sign-in and your browser's local storage to remember onboarding progress and preferences. We also set one analytics cookie of our own: a random ID, kept for up to 13 months, that lets us tell returning visitors from new ones and see which pages lead people to sign up. It carries no name, no email and nothing about you, and it is never shared. Our payment processor sets cookies for fraud prevention. We use no advertising trackers of any kind, and we do not permit anyone to track you across other websites.

For product analytics — understanding which pages people read and which parts of a report they actually use — our own first-party records are the system we rely on. We also use one third-party product-analytics provider (PostHog) on our pages, configured for the most private settings it offers: no session recording, no automatic capture of what you click or type, all text masked, no IP address sent, and an individual profile only once you have signed in. It is never used for advertising.

Both honour your browser's "Do Not Track" and Global Privacy Control signals: if either is on, the third-party provider collects nothing and we do not set the analytics cookie. Our own first-party records — which are not shared with anyone — still note basic usage such as when a page is viewed or a report is opened. When you are signed in, that usage is recorded against your account, as all account activity is; when you are not, it identifies nobody.

Historical Player and Program Data

Depth Chart uses historical basketball recruiting, roster, school, and player data to generate recruiting-fit analysis and improve our service. This may include information from public sources, school athletics pages, roster bios, recruiting references, and other basketball-related records. This historical data may include player names, schools, roster history, high school information, position, height, weight, honors, statistics, and college landing outcomes where available.

We use this data to build statistical models, compare recruiting patterns, evaluate school fit, and generate recruiting-fit reports. We do not use a customer's private profile information to train third-party AI models. If you believe historical information about you or your athlete is inaccurate or should be removed, contact hello@mydepthchart.com.

AI and Service Providers

Depth Chart may use third-party service providers, including AI infrastructure providers, to process information and generate report content. These providers process information on our behalf and are not permitted to use customer profile information to train their own AI models unless we expressly disclose otherwise and obtain any required consent. Depth Chart does not sell athlete profile information to colleges, coaches, recruiters, or advertisers.

Minors

If the athlete is under 18, the paid account must be created or approved by a parent or legal guardian. We may require a parent or guardian to verify their authority before allowing purchases or access to certain features. Depth Chart is not available for athletes under 13, on any signup path. If you believe a child under 13 has provided us personal information, contact hello@mydepthchart.com.

Security

We maintain administrative, technical, and organizational safeguards designed to protect personal information, appropriate to how sensitive it is — including encryption in transit, access controls on our systems, and providers chosen for their security practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention & Deletion

Your data is retained while your account is active. You can delete your account at any time from Settings → Delete Account. We immediately and permanently delete your profile, your reports, your alerts and outreach records, and your login, and this frees your email address for future use. Some records are deliberately kept: payment records and proof-of-consent records we are required to retain, and routine encrypted backups, which are overwritten on our provider's normal schedule. Information about schools and programs drawn from public sources is not part of your account and is retained.

We may retain historical, aggregated, deidentified, or public-source data for research, model evaluation, and product-improvement purposes. Parents or eligible users may request deletion of account or profile information, subject to legal, fraud-prevention, backup, and operational retention needs.

Your Rights

You may access, correct, or delete your information at any time: update your profile through Edit Profile, manage email preferences from any email's unsubscribe link or the Email Preferences page, and delete your account from Settings. For parent-managed accounts, these rights belong to the parent or guardian on the athlete's behalf.
